A report of every difference
A list of differences, with what costs you money first. Each line names the supplier, the documents, the item, the quantity or price on each side, and the difference. Whether you pay, hold, or dispute an invoice stays your decision.
When the assistant can run code, you also get a CSV with every line it checked, ready to go through with the supplier.
Three-way match: invoice, delivery note, purchase order
- Quantities billed against quantities delivered, item by item
- Hours billed against the timesheet, and whether the timesheet was signed
- Unit prices against the purchase order or price list
- The same invoice twice, and one delivery note on two invoices
- Returns against credit notes
- What is still open on an order, and what was delivered but not billed yet
One invoice for many delivery notes is normal. The skill links the documents through the numbers printed on them. If it can't tell which documents belong together, or how many pieces are in a pack, it asks.
Documents from the chat, a folder, Billpal, or your ERP
Attach them in the chat, point the assistant to a folder on your computer, for example in Claude Cowork, or let it read from Billpal or another connection such as your ERP. Sources can be mixed: orders from the ERP, invoices from a folder. The skill only reads from them and changes nothing.
PDFs, scans, and photos all work. A handwritten note on a delivery note, such as a crossed-out quantity, counts, and the skill asks you to confirm each one. Anything it can't read clearly is marked for a check by hand instead of guessed.
How quantities and tolerances are compared
The assistant reads the documents. A Python script in the skill links them, adds up the quantities, and compares them. The model does no arithmetic of its own.
Counted items, hours, and prices must match exactly. Weighed or measured goods get a 1% tolerance by default, and you can change it. Every difference is shown with its size, even within the tolerance. A shortfall on one item never cancels out a surplus on another.
