# Billpal

> Billpal is an AI-powered invoice collection and bookkeeping automation tool. It collects invoices and receipts from email, WhatsApp, and supplier portals, extracts every line item, and prepares the data for your accountant and your accounting software.

Billpal sits before the accounting system. It prepares data and import files. It does not post accounting entries or replace the ledger.

## What Billpal does

1. Collects invoices automatically from email (Gmail, Microsoft 365 and Outlook.com, iCloud, Yahoo, any IMAP inbox, or a forwarding address), supplier portals, and WhatsApp. Files can also be uploaded (PDF, JPG, PNG).
2. Extracts invoice data with a vision language model, not OCR: document type, supplier or customer, dates, amounts, VAT, and individual line items. It checks that the line items add up to the total and flags inconsistent documents for review.
3. Categorizes each line item against the company's chart of accounts (Billpal default, SKR03 or SKR04 for Germany, ÖEKR for Austria, or a custom chart), with the tax rate for each line. Rules (if this, then that) can categorize, tag, exclude, or flag documents.
4. Exports to Excel, CSV, and import files for DATEV (Germany), BMD, and DVO (Austria), optionally with the original PDFs as a ZIP.

- Small businesses, freelancers, and founders who want their invoices and receipts collected and ready for their accountant every month.
- Accountants and bookkeepers who collect documents from their clients.

## Key facts

- Document types: invoices, receipts, credit notes, and reminders, incoming and outgoing. Receipts, credit notes, and reminders are linked to the original invoice when the details match. Other documents are not counted toward the plan allowance.
- Duplicates: a file that was already captured is not imported again.
- E-invoices: ZUGFeRD and Factur-X PDFs are read, including the embedded XML. Standalone XML files, such as an XRechnung without a PDF, are not accepted yet.
- Supplier portals: an AI agent downloads invoices from supplier accounts that require a login, on a schedule. There are no pre-built connectors that break when a site changes. Billpal stores session cookies, not passwords.
- WhatsApp: send photos or PDFs of receipts to Billpal. No separate app needed.
- Email access is read-only. Billpal stores invoice files and minimal metadata, not email conversations.
- Documents are stored and processed in the EU and never used to train AI models.
- Unlimited users, email accounts, and workspaces on every plan. One workspace per company or client, each with its own chart of accounts, rules, and exports.
- Billpal is not accounting software: there is no ledger, P&L, or balance sheet. It feeds the accounting software or the accountant you already use.
- ChatGPT and Claude can connect to Billpal through MCP (https://billpal.io/mcp) to answer questions about Billpal data and, where write access is enabled, make confirmed changes and create exports.
- QuickBooks Online and Xero sync is coming soon and not available yet.
- The app is available in English and German.

One plan, priced by documents per month: from $29 per month for 50 documents up to $699 per month for 10,000 documents. Additional documents are billed per document. Yearly billing gives 2 months off. Prices are in USD, or EUR in the eurozone. Every account starts with a 7-day free trial, no credit card required.

## Common questions

### Do you offer a free trial?

Yes. 7 days, no credit card required. You can process up to 50 documents. Email, WhatsApp, portals, and upload are all available during the trial.

### Which email providers are supported?

Gmail, Office 365, Microsoft Exchange, Outlook.com, Yahoo, iCloud, and any IMAP inbox. Email is available on the free trial, but the 50-document cap still applies.

### Does Billpal import my emails?

Billpal looks for invoice and receipt attachments in inboxes you connect. We only keep those files, plus message and attachment IDs, so the same document is not imported twice.

### Do you support e-invoices?

Yes. Billpal reads ZUGFeRD or Factur-X invoices with the invoice data embedded as XML. If the XML has no line items, we still analyze the PDF visually and extract them from the page. Standalone XML files, such as an XRechnung without a PDF, are not accepted yet.

### How is this different from QuickBooks or Xero?

Billpal is not accounting software. There is no P&L or balance sheet in the app. All it does is collect bills and receipts, extract the data, and feed that into the accounting ledger you connect. You can also export a CSV and import it into whatever you already use. ### Does Billpal work with ChatGPT and Claude?

Yes. Connect ChatGPT or Claude to Billpal through our MCP server under Settings > AI agents, then ask about your documents, for example which invoices from a supplier are still unpaid or what you spent on software last quarter. The assistant only sees the workspaces you can open in Billpal. Where write access is enabled, it can also update documents and contacts, and only after you confirm each change. Our free skills use the same connection to fill in contacts, supplier IBANs, and documents.

### What happens if I go over my monthly allowance?

You are billed per extra processed document at your tier's overage rate, starting at $0.50 on the first tier. Higher tiers have cheaper overages. Unused allowance does not roll over to the next month.

### What are portals?

A portal is a custom AI agent that logs in to a vendor website and downloads PDF invoices. We do not ship pre-made connectors. They break when the vendor's site changes. Paste a vendor URL, sign in once, and optionally set a schedule. We store the cookies, not your password.

### Can I set up multiple companies or clients?

Yes. Each company or client gets its own workspace, with its own invoices, contacts, chart of accounts, rules, and integrations. No limit on workspaces. Billpal has no seat-based pricing, so users and workspaces are not billed separately. Price is documents per month for the whole account, all workspaces combined.
