Terms of Service

Billpal e.U. ("us", "we", or "our") operates https://billpal.io (the "Service"). For full company details, see our Imprint.

By accessing or using the Service, you agree to these Terms. If you disagree with any part, you may not use the Service.

1. The Service

Billpal captures billing documents (invoices, receipts, credit notes, and payment reminders), extracts structured data with AI, and helps you export that data (CSV, ZIP, DATEV, and similar formats). You can collect documents from connected email, WhatsApp, vendor-website portals, or manual upload.

Billpal is not accounting software, an accounting firm, a tax advisor, or a financial institution. There is no general ledger, P&L, or bank feed in the app. You remain responsible for your books.

2. Your Account

  • You must provide accurate information and keep it up to date.
  • You must be at least 18 years old, and you must have authority to bind the business you sign up for.
  • You are responsible for the security of your login. Invite teammates instead of sharing your password.
  • A workspace is one company (one legal entity) with its own documents, contacts, chart of accounts, and rules. You can have more than one workspace. Billing is by account, across all workspaces.
  • If you are an accountant or similar advisor using the Service for clients, you warrant that you have the right to put their data in Billpal, including any contract those clients require of you. You indemnify us against claims by those clients arising from your use of the Service, except for our intent or gross negligence.
  • You can delete your account in Settings or by emailing support@billpal.io. Deletion of workspaces you own follows the Transfer or Delete choices described in our Privacy Policy.

3. Subscriptions & Billing

  • Billpal offers a time-based free trial with a limited document allowance (no payment method required during trial). Current trial length and allowance are on our website.
  • After the trial, continued use requires a paid subscription. Pricing is on our website. Document allowance is pooled across workspaces on the account. Unused allowance does not roll over.
  • Subscriptions renew automatically. You can cancel at any time. Access continues until the end of your billing period. No refunds for the remaining period.
  • Usage beyond the included monthly documents is billed as overage at the end of each usage month.
  • We may grant overage credit (for example a welcome gift or support adjustment). Overage credit only offsets overage charges, never the subscription fee, and is not sold as credit packs. Unused overage credit is not cashable and ends if the account is deleted.
  • Payments are processed by Stripe. By subscribing, you also agree to the Stripe Services Agreement.

4. Your Data

  • You retain ownership of your workspace data (documents, contacts, and related business information).
  • You grant us a limited license to process that data solely to provide the Service.
  • Our Privacy Policy and Data Processing Agreement form part of these Terms. The DPA applies to every account. Downloading the PDF is optional. It is a copy for your file.
  • You can export documents and contacts with the built-in export features. That export is not a complete copy of every record we hold (for example WhatsApp messages or connection settings).

5. AI features

  • Billpal uses AI to admit email captures, classify and extract documents, categorize them, write short supplier summaries, power portal download agents, transcribe WhatsApp voice notes, and answer product FAQ in WhatsApp. Results may be inaccurate or incomplete. They are not accounting, tax, or legal advice.
  • You are responsible for reviewing AI-generated results before relying on them.
  • We do not use your documents to train Billpal models. Google, OpenAI, and Scaleway do not train on this API data under their paid terms. Providers may keep data briefly to detect abuse. Their API terms apply.

6. Acceptable Use

You agree to:

  • Use the Service only in compliance with applicable laws.
  • Not upload malicious files or attempt to exploit the system.
  • Not share login credentials. Invite users instead.
  • Not use automated tools to access the Service beyond its intended use.
  • Connect only email accounts, WhatsApp numbers, and vendor websites you are authorized to access. You are responsible for those third parties' terms (including a vendor site's terms when you set up a portal).
  • Not use portals to access accounts you do not control, to bypass security, or to change data on a vendor site. Portal login happens in a remote browser. We keep session cookies so capture can run later. We do not store your password.

7. Third-Party Services

The Service uses third-party providers for hosting, email ingest, WhatsApp, portal browsers, payments, AI, email delivery, and analytics. They are listed in our Privacy Policy. They have their own terms. We are not responsible for their availability or accuracy.

Email: Gmail and Microsoft connections use read-only OAuth. IMAP connections store the mailbox password on our email host so we can sync mail. You can disconnect at any time.

WhatsApp: Meta provides the messaging channel. Product FAQ in that chat does not look up your invoices.

Portals: the remote browser runs on our server in Germany. We keep the session cookies there so capture can run later. We do not store your password. You use vendor sites at your own risk. We are not liable for what the agent does on a vendor site, for purchases or account changes, for vendor lockouts, or for loss tied to session cookies, except for intent or gross negligence as in section 8.

8. Limitation of Liability

  • The Service is provided "as is" and "as available" without warranties of any kind.
  • We do not guarantee uninterrupted or error-free operation.
  • We do not guarantee the accuracy of AI outputs, document extraction, categorization, or portal downloads.
  • We are not liable for any indirect or consequential damages arising from use of the Service.
  • Our total liability is limited to the fees you have paid us in the 12 months preceding the claim.
  • Nothing in these Terms excludes liability for intent or gross negligence.

9. Governing Law

  • These Terms are governed by the laws of Austria.
  • Any disputes shall be subject to the exclusive jurisdiction of the courts of Vienna, Austria.
  • If you are an EU consumer, you may also use the EU Consumer Redress platform.

10. Changes & Contact

  • We may update these Terms from time to time. We will notify you of material changes via email.
  • If any provision is found unenforceable, the remaining provisions remain in effect.
